Church Administrator Job description

Reports to: Executive Pastor

Classification: Full-Time

Position Overview:

The Church Administrator serves as the Day-to-Day Operations Manager and provides the overall leadership of the administrative staff while leading the areas in the accomplishment of the church’s mission. Assist the Pastoral Leadership in providing strategy, implementation, and operating in the administration of the church's business functions. Areas of oversight will include the Finances and Facilities of the church, and in partnership with the Executive Pastor, the Human resources of the staff. In general terms, the following are the major responsibilities of this position.

Primary Areas of Responsibilities

Human Resources

· Organize, encourage, and provide leadership for the administrative staff of Covenant, to execute church objectives, and provide Human Resources for the staff.

· Develop and administer the personnel policies and procedures of the church, and collaborate with the Executive Pastor, who supervises the ministry and worship staff.

· In consultation with the Pastoral Leadership and Staff Parish Relations Committee, oversee recruitment, hiring, and training of staff.

· In consultation with Pastoral Leadership, maintains current job descriptions, facilitates annual performance reviews, and makes recommendations for salary increases for non-pastoral staff.

· Maintains personnel records and ensures the church’s compliance with federal and state labor laws.

· Administer Employee Benefits.

· Responsible for administering Ministry Safe documents for congregation members.

· Responsible for the daily management of the church office.

· Oversee and manage the administrative staff and the daily operations of the church.

Facilities, Property and Equipment (Trustees)

· Assists the Trustees Committee in the development and administration of policies and procedures concerning the use of all church properties and facilities.

· Authorizes necessary repairs, replacement, and upgrades to infrastructure and equipment in the most economical manner within the confines of the annual church budget.

· Directs facility personnel to maintain all church property in good condition and to assure that spaces in the building and equipment are suitable and updated for ministry needs.

· Oversees the use of church facilities by groups or organizations in coordination with the church calendar. Create the use agreements for the facility.

· Oversees the accuracy of the inventory of all equipment and supplies.

· Reviews and evaluates the insurance needs of the church annually and coordinates policy renewals.

· Oversee security and risk management and information technology systems.

Financial Management (Finance Committee)

· Supervises financial staff in maintaining timely and accurate accounting records, reports, and payroll.

· Acts as a signer for the business/vendor accounts of the church and signs off on receipts and checks, as needed.

· Develops a purchase order system and oversees the purchasing process and vendor relationships.

· Initiates annual budget process and serves as a liaison between church staff, church leaders, and the Finance Committee to submit a balanced budget to the Church Council for approval.

· Serves as primary contact and authorized agent with banking institutions.

· Ensure that all legal and financial control practices and policies are upheld.

Perform other duties as assigned by the Senior Pastor and the Executive Pastor, to effectively meet the objectives of the job.

Education and Experience

This position requires strong organizational and leadership skills, financial management experience, and knowledgeable with technology. The candidate must have a spiritual background and commitment to the church and to the ministry of the church. The candidate must also maintain discretion and confidentiality as the administrator often works with highly confidential information and sensitive situations. The candidate must have strong interpersonal skills and be able to work collaboratively with pastors, church staff, volunteers, and church members. Possession of a bachelor’s degree in business administration, non-profit management, or a related field, and a minimum of 5 years of experience as a senior leader in a Church or corporate business administration environment. The candidate must have a proven track record of effective leadership, judgment, and above-reproach character.
